Turn contracts and vendor conversations into accountable service decisions.

Maintain the vendor operating record

Track the contract owner, service contacts, support path, commitments, open cases, renewal and notice dates, license model, price changes, data terms, export path, and critical dependencies.

Keep sales promises separate from contractual commitments and verified operating behavior. Record the evidence the nonprofit relies on.

Prepare before the renewal window

Compare intended outcomes with actual use, support demand, staff effort, service quality, accessibility, reliability, data quality, cost, risk, and remaining alternatives.

Start early enough to right-size, improve, negotiate, replace, or retire. The invoice date is usually too late for a meaningful choice.

Keep exit readiness current

Understand export formats, retention, deletion, integrations, identity dependencies, transition support, documentation, and continuity options even when the relationship is healthy.

Exit readiness is leverage and resilience. It does not require hostility or a predetermined replacement decision.
